Admin Assistant

We are looking for a responsible Admin Assistant to perform a variety of administrative and clerical tasks that will support our financial team. The Duties of this position include providing support to our managers and employees, assisting in daily office needs, and managing our company’s general administrative activities.

 

Admin Assistant responsibilities include making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you also have previous experience as a Secretary or Executive Administrative Assistant, software like Google Suite, and familiarity within our industry, we’d like to meet you.

Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

Job Type: Part-time

Expected hours: 15-20 per week

Salary: From $18.00 per hour

Schedule: Monday, Wednesday, Friday

Responsibilities

  • Communication: Answer inbound & Outbound Phone calls and Email Correspondence 

  • Google Company Calendars (Weekly, Monthly or Quarterly)

    • Schedule Meetings – Company, Staff and Clients

    • Set Reminders

  • Client Directory: Manage Client Contacts 

  • Documentation Management of clients forms as do corrections of the fact. 

    • Reports Example - Responsible for filing Clients Annual Reports

  • Assist CEO as Need for special projects 

    • Includes assisting support to accounting staff per direction of CEO

  • Office Supplies Management

  • Marketing Materials Management – Input Orders Only

Skills & Requirements

  • Be able to Multitask

  • Work experience as an Accounting Clerk (Not Require But Prefer)

  • Knowledge of basic bookkeeping procedures (Not Require But Prefer)

  • Exceptional interpersonal skills and proficiency in English

  • Computer Savvy - Hands-on experience with Google Suite

  • Be able to handle multiple line of communication (Email & Phone)

  • Good math skills
